Call Detail Records

The Call Detail Records (CDR) module provides a comprehensive, searchable log of every telephone call made through the facility’s inmate communication system. Each record captures the originating extension, dialed number, call duration, recording status, and timestamps — giving investigators, classification officers, and compliance staff an auditable chain of evidence for every communication event.

HOW-TO GUIDE

Step-by-Step: Working with Call Detail Records

1

Access the CDR Module

From the main navigation, select Inmate Communicator → Call Detail Records. The module opens to the last 24 hours of call activity across the facility by default.

Step 1
2

Apply Search Filters

Enter criteria in the Search Panel: use Inmate Name or Booking #, Destination Number, and the Date/Time Range fields. Multiple filters are applied simultaneously using AND logic.

3

Interpret Record Status Indicators

Each row displays a colored status pill: Completed (green), Blocked (red), Dropped (amber), or Voicemail (blue). Red rows require immediate review under most facility policies.

Step 3
4

Play or Download a Recording

Click the ▶ Play button on any completed-call row to stream the recording in the built-in audio player. Click Download to save the MP3 file. All playback events are logged with your officer credentials.

5

Flag Records for Investigation

Click the Flag ⚑ icon to tag a record for follow-up. Enter a case reference number and notes. Flagged records appear in the Flagged Queue sidebar and trigger a notification to the supervising investigator.

Step 5
6

Generate a CDR Report

Click Export Report at the top of the results table. Select PDF or CSV format, choose whether to include audio attachment links, and click Generate. Reports include your facility header, officer signature line, and a SHA-256 integrity hash.

7

Review Blocked Call Attempts

Click the Blocked Calls filter tab to isolate all restricted-number contact attempts. Review the Block Reason column to identify whether the block was a facility policy rule, court order, or victim protection order.

8

Archive and Retention Management

Access the Archive Settings panel to configure automatic archival after the facility’s retention period expires. All archives are stamped with disposition reason, archiving officer, and date per state records management requirements.

💡 Pro Tips

  • Use the Bulk Export feature when responding to a legal discovery request — select all records within the requested date range and generate a single court-ready PDF packet.
  • Set up Restricted Number Alerts in the notification settings so officers are paged in real time when an inmate attempts to reach a victim, witness, or court-ordered blocked contact.
  • CDR retention defaults to 7 years in most states — confirm your jurisdiction’s requirement and adjust the retention policy under System Settings → Retention Schedules before going live.
