Custom Report Builder

The Custom Report Builder empowers jail administrators to construct targeted queries from any combination of inmate, booking, housing, classification, medical, and financial data — without writing a single line of SQL. Select the exact fields you need, layer in filters, apply grouping and sorting, and save the resulting report template for future re-use or scheduled delivery. When standard reports don’t answer the question, the builder does.

HOW-TO GUIDE

Step-by-Step: Building a Custom Report

1

Open the Custom Report Builder Tab

Navigate to Reports and click the Custom Report Builder tab. Click the + New Report button to open a blank builder canvas with a three-panel layout: Data Source, Field Selection, and Filters.

Step 1
2

Select a Data Source

From the Data Source dropdown, choose the primary record type for your query: Bookings, Inmates, Housing Assignments, Incidents, Medical Events, or Financial Transactions. This determines which fields are available in the next step.

3

Pick Fields to Include

In the Available Fields panel, check the boxes next to each data field you want as a column in the output — such as Last Name, Booking Date, Charge Description, Housing Unit, and Classification Level. Drag to reorder columns in the Selected Fields list.

Step 3
4

Define Filter Conditions

Click + Add Filter to open the condition builder. Select a field, then choose an operator (equals, contains, is between, is in list, etc.) and enter the value. Stack multiple filters and toggle between AND / OR logic using the connector buttons.

5

Set Grouping and Sort Order

Optionally enable Group By and select a grouping field (e.g., group by Housing Unit to see subtotals per unit). Set a Sort By field and direction. Enable Show Totals to append aggregate rows at the bottom of each group.

Step 5
6

Preview and Refine

Click Preview to run the query and see the first 50 rows in the preview panel. Adjust field selections, filters, or grouping as needed, then preview again until the output matches your intent.

7

Save, Export, or Schedule

Click Save Template to name and store the report configuration. From the saved template, click Run Full Report to generate all records, then export to PDF or Excel. Click Schedule to add this custom report to automated delivery.

💡 Pro Tips

  • Build a “Long-Term Pretrial Detainee” custom report (Booking Status = Pretrial, Days Held > 180) to proactively identify inmates approaching due-process review thresholds.
  • Use the OR filter logic to combine multiple charge categories — for example, all inmates booked on felony or violent misdemeanor charges — in a single query.
  • Saved custom report templates are visible to all administrators; use clear naming conventions like “[Purpose] — [Requesting Agency] — [Date Created]” to avoid confusion.
  • The preview cap is 50 rows — always run the full report before exporting to ensure all records are captured, especially for population-wide queries.
