Offender Portal — Family & Self-Service Access
The FortressDMS Offender Portal provides a secure, staff-controlled web interface for inmates and their approved family members to access services without requiring officer involvement for routine tasks. Families can deposit calling funds, schedule visits, and view hearing dates from any device. Inmates access self-service kiosk features for commissary ordering, grievance submission, and court date reminders — reducing the volume of routine requests that burden your staff each day.
Family Access Portal
Approved family members log in securely to deposit funds, schedule visits, and receive automated status notifications.
Commissary Ordering
Inmates submit commissary orders through a kiosk or tablet interface, which routes automatically to the commissary fulfillment queue.
Visit Scheduling
Families book in-person or video visits through a calendar showing real-time slot availability — approved visits appear on the facility schedule automatically.
Grievance Submission
Inmates file grievances electronically, receiving a confirmation number and automated status updates as the grievance moves through review.
Court Date & Hearing Info
Inmates view upcoming court dates, transport schedules, and attorney contact information directly from the portal — reducing daily questions to staff.
Staff-Controlled Access
Administrators enable or restrict each portal feature by housing unit, classification level, or individual inmate with real-time effect.
Step-by-Step: Administering the Offender Portal
Open the Offender Portal Module
Select Offender Portal from the main navigation. The admin overview shows pending family account approvals, new grievance submissions, unreviewed commissary orders, and visit requests awaiting confirmation.
Approve Family Portal Accounts
Under Family Accounts, review pending registrations. Verify the submitter’s relationship to the inmate, confirm the inmate is currently housed, then click Approve Access. The family member receives a welcome email with login credentials and a portal orientation guide.
Manage Visit Scheduling
Navigate to Visit Requests to review pending visit bookings. Confirm or reschedule by clicking the request row. Confirmed visits automatically populate the facility’s Visitation Schedule and send confirmation notifications to both the inmate and family member.
Process Grievances
Go to Grievances and open a pending submission. Assign the grievance to the appropriate staff supervisor, set a response deadline, and enter a resolution or denial with a written explanation. The inmate receives an automated status update at each stage of the process.
Configure Portal Feature Access
Under Portal Settings, use the feature access matrix to enable or disable specific capabilities by classification level or housing unit. For example, restrict commissary ordering for inmates on disciplinary status while keeping grievance submission available as required by policy.
Update Court Dates for Inmate View
Court dates entered in the Court Management module automatically surface in the inmate’s portal view. Verify that the Show to Inmate toggle is enabled on each court event record — this prevents court date information from being visible before it has been confirmed by the court clerk.
Monitor Portal Activity Logs
Review the Activity Log under Portal Settings to see a timestamped record of every family login, fund deposit, order submission, and grievance filing. Use this log to investigate suspected policy violations or to verify that a family member was properly notified of a release date change.
💡 Pro Tips
- Enable Automated Release Notifications so family members are automatically notified when an inmate’s projected release date is updated — eliminating a high volume of daily inquiry calls to your front desk.
- Use the Bulk Feature Lock in Portal Settings to instantly restrict all self-service features facility-wide during a lockdown, then restore normal access with a single click when the lockdown ends.
- Set grievance response deadline alerts so supervisors receive an email reminder 24 hours before a grievance response is due — preventing policy violations from missed timelines.
- Review the Fund Deposit Report weekly to identify unexpectedly large deposits to inmate accounts, which may warrant a financial investigation under your facility’s contraband control policy.
