The Fortress Grants Workspace is built around the reality of small-agency grant work: one person juggling multiple applications across DOJ, state DPS, DESE, and private foundations. The module surfaces Grants Library, Grant Application Detail, Calendar, Team, Documents, Equipment, Narrative, Generation, Intel Hub, and Facility Profile — all stitched together by a single application object.
What it does
- Discovery: the Grants Library and Intel Hub surface eligible funders by category (school safety, JAG, DOJ COPS, DESE, BJA, local foundations) and by deadline.
- Authoring: the Narrative, Documents, Equipment, Budget, and Team workspaces let you build a complete application without leaving the system.
- AI-assisted generation: the Generation workspace produces draft narrative against the facility profile and selected funder template, ready for the grant officer to revise.
- Tracking: the Calendar and Application Detail pages keep every open application’s stage, deadline, and owner visible.
How it works
Every application is a single object with sub-workspaces for the artifacts (narrative, budget, team, equipment, documents). The Facility Profile workspace captures the data every application reuses — agency demographics, population, key personnel — so the next application starts 80% complete.
Data captured
- Applications with funder, category, status, amount, deadline
- Narrative drafts with version history
- Budget line items linked to equipment catalog entries
- Team assignments, document attachments, calendar events
- Facility profile reused across applications
Compliance & retention
Grant records — application, narrative, budget, award — are retained per funder requirements (typically 3-7 years after the close of the grant period). The system carries the funder’s retention class on each application so the records officer can act on it.

We’ve been piecing together our grant work across like four different spreadsheets and a shared drive folder nobody can find — this kind of all-in-one workspace would have saved us so much grief during our last SCAAP submission. Does the AI drafting actually pull in your facility-specific data, or is it more of a general template generator?
We’ve been drowning in grant deadlines with only one person handling everything, so the idea of having discovery and narrative drafting all in one workspace is genuinely appealing. Does the AI-assisted narrative generation pull from your existing facility data, or is it more of a general template you customize? That would make or break it for us.
We’ve been piecing together grant work across four different spreadsheets and a shared drive nobody can find anything in, so an all-in-one workspace like this would be a game changer for our office. Does the AI narrative drafting pull from your existing facility data, or do you have to feed it details manually each time? That part especially could save us serious hours before a BJA deadline.
We’ve been cobbling together grant work across three different spreadsheets and a shared drive folder that nobody can ever find, so a dedicated workspace for all of this sounds like a real game-changer. Quick question — does the AI-assisted narrative drafting pull from your existing facility data, like current bed counts or staffing numbers, or do you have to manually enter all that context each time? That would make or break it for us.
We’ve been piecing together grant work across three different spreadsheets and a shared drive folder that nobody can ever find the right version of — this kind of centralized workspace would have saved us serious headaches on our last SCAAP submission. Does the AI-assisted narrative generation work from your existing policy documents, or does staff basically start from scratch each time?
We’ve been piecing together grant work across three different spreadsheets and a shared drive folder that nobody can ever find anything in, so a dedicated workspace like this is exactly what we’ve needed. Does the AI drafting actually pull in your facility-specific data for the narrative, or is it more of a general template you customize from scratch? That part would make or break it for us given how stretched our administrative staff is.
