Visitation handles in-person scheduling; the Video Visitation stack (VideoVisitation + VideoVisitDashboard + VideoVisitMonitor + VideoVisitSetup + VideoStationConfig) handles remote sessions. Both write to the same visitor and visit-history tables so the inmate’s record is complete regardless of channel.

What it does

  • Schedules in-person visits — visitor approval, time slot, room assignment — with conflict detection and waitlist support.
  • Runs scheduled and on-demand video visits through facility WebRTC stations with the Video Visit Dashboard for live session monitoring.
  • Lets administrators configure stations, rooms, and scheduling rules from a single setup surface.
  • Captures recording for non-privileged visits per facility policy; legal visits are marked privileged and excluded from recording.

How it works

Scheduling is a single calendar abstraction; in-person and video visits are different visit types in the same table. The Video Visit Monitor page provides live oversight; the Recording Service captures and stores video for the applicable retention window.

Data captured

  • Visit records with type, time, inmate, visitor, room/station
  • Visitor identity and relationship-to-inmate
  • Recordings with retention class and access audit
  • No-show and cancellation reasons

Compliance & retention

Recorded visits inherit existing recording-retention rules and PREA review obligations. Legal visits are privileged and not recorded. Any visit that contributes to a Threat Assessment is linked to the case id and retained for the case retention window.

We switched to a unified calendar for visits last year and it genuinely cut down on the scheduling conflicts we were having between in-person and video slots. My one question — does the live monitoring piece flag anything automatically, or is that still a manual watch by staff?

We switched to a unified calendar for both in-person and video visits about six months ago and the difference in scheduling conflicts alone made it worth it. Before that, our officers were constantly sorting out double-booked stations during peak hours on weekends. Does the live monitoring flag anything in real time if a session runs over its allotted window?

We switched to consolidated visitation scheduling about eight months ago and the difference in control room chaos alone was worth it. My staff used to juggle three separate logs for in-person, video, and attorney visits — having it all feed into one calendar has been a game changer. Quick question: does your system flag scheduling conflicts automatically when an inmate has a court transport the same day as a scheduled visit?

We switched to a unified calendar for in-person and video visits about eight months ago and the difference in staff workload has been night and day. My biggest question is how the system handles a video session that runs over when there’s an in-person visit scheduled right after at the same station — does it auto-flag that conflict in real time or do officers have to catch it manually?

We switched to a unified calendar for in-person and video visits about eight months ago and the difference in staff workload is night and day — no more double-booking or chasing down which station was reserved. One thing I’d love to see addressed though: how does the system handle last-minute lockdowns when you’ve got a full visitation queue already confirmed for that afternoon?

We switched to a unified calendar for both in-person and video visits about eight months ago and the difference in shift coordination alone was worth it. Before, we had officers double-booked at stations because nobody knew what the video room was running at any given time. Does your system send automated reminders to inmates’ approved visitor lists, or is that still a manual notification process?
